Privacy Policy

Your Personal Data

Any data you provide on this website is managed by Congleton Amateur Youth Theatre (CAYT), a theatre club for young people aged 9-21 and a Registered Charity in the UK (number 1071221).

CAYT is committed to respecting the privacy of our members and customers, and this Privacy Policy describes the information we collect from you, how we may use it, and how we will protect the information which you choose to provide.

CAYT collects data for two purposes

  1. Membership of CAYT (this might be as cast members, parent helpers, or crew members, or pending members – i.e. those on our waiting list)
  2. Marketing of our shows to potential customers

Below is set out what data we collect and how we use it for each purpose.

1. Membership of CAYT

CAYT collects personally identifiable information on our members to help us manage the club and all aspects of our performances.  By joining CAYT or joining our waiting list for membership you are giving your consent for us to manage your data in the usual course of our business.

The data is kept by the CAYT Chairman and made available on an individual as-needed basis to other members of the CAYT team such as the Costume Manager, Membership Secretary, Finance Manager, Parent Rota Manager, Publicity Manager and Show Production Teams (e.g. Director, Producer, Musical Director, Choreographer).  Individuals’ data is shared with these people only when necessary for the normal activities of CAYT.

The data we collect is:

  • Your name
  • Your child’s name and age (if they are on the waiting list or a member of CAYT)
  • Your email address
  • Your phone number
  • Your child’s phone number (if they are on the waiting list or a member of CAYT)
  • Your postal address
  • Preferences about taking part in future shows
  • Information about tickets you have bought
  • Information about how many people your child has invited to see our shows

We use the data we hold about you as a CAYT member for the following:

  • Keeping you informed about upcoming shows and rehearsals that you/your child is involved in, including costume information, ticket sales, casting, promotional activity, parent rotas, show dates and all other information relating to our performances
  • Inviting you to CAYT social events, fund raisers and other club activities
  • If you opt in to receive it, we will send you information about all other CAYT shows and activities (those in which you/your child do not have a direct role) so that you can buy tickets.

The personally identifiable information you have provided through this website or in the course of your membership of CAYT will be stored for as long as you are a CAYT member. If you cease being a member of CAYT, all of your data will be deleted unless you have opted in to receive marketing information.

You can opt out of receiving general marketing information (about shows you/your child is not involved in) at any time by emailing congletonamateuryouththeatre@gmail.com with the subject line ‘Unsubscribe’.

2. Customers of CAYT

CAYT collects personally identifiable information on people who have purchased tickets online or in person, including friends and relatives of cast members who have purchased tickets.

The data we may collect is

  • Your name
  • Your email address
  • Your phone number
  • Your postal address
  • Your permission to receive email, SMS messages or post about future CAYT shows

The personally identifiable information you have provided for the purchase of tickets is stored in our files and used for sending your tickets and contacting you about the performance.

The CAYT Chairman is responsible for maintaining your data. The Chairman may share your data with the Publicity Manager for the purpose of sending marketing emails about future shows.

If you have opted-in to receive information about future shows, you can opt-out at any time by emailing congletonamateuryouththeatre@gmail.com

Data Processor – TicketSource

CAYT uses TicketSource online service to sell tickets for our shows. TicketSource is a Data Processor and holds your data on behalf of CAYT as Data Controller.  TicketSource does not have access to your data in the normal running of the service. If there is a specific need for maintenance or troubleshooting, CAYT as Data Controller may grant TicketSouce one-off access to maintain the data. TicketSource has a standard Data Processing Agreement which applies to the service they provide to you on behalf of CAYT.

The same opt-out process described above applies to your data held on TicketSource.

Security of Personal Data

We will store the information that you share with us securely and will take appropriate steps to protect it from unauthorised access or disclosure. While no security steps can offer 100 percent protection, we utilise technology and systems to prevent unauthorised access to the information we hold.

Review and Deletion of Personal Data

You can review the data we hold on you at any time by emailing congletonamateuryouththeatre@gmail.com and requesting a copy of the personal data we hold about you.  If you wish to make any corrections to the data, you can also do so using this email address.  If you wish us to delete your data please request this by email to congletonamateuryouththeatre@gmail.com and your data will be deleted.  If we are holding your data as a member of CAYT, deleting your data will terminate your membership.

Changes

Any changes to this Privacy Policy will be communicated via email updates and on our website.
